We are seeking a detailed oriented and responsible Accounts Receivable Specialist. This is a full-time position in our Fountain Valley office.

Job Summary

We are looking for a dependable Accounts Receivable Specialist to perform general office tasks, including monitoring, facilitating and reporting on various aspects of the Firm's revenue stream. You will be responsible for sending biweekly invoices and statements (using a cloud based billing system), recording payments, maintaining current and new client information, and preparing activity reports on a daily, semi-monthly and monthly basis.

As a Accounts receivable Specialist, you must be comfortable working with numbers. You must love math and possess a high degree of organizational skills and ability. These are essential and core requirements. Since technology is used to expedite work, you must also possess the ability to quickly learn computer based systems.

The goal is to contribute to the accurate preparation of invoices and statements, process payments, safeguard the Firm's income, and consistently communicate reports with a high degree of accuracy.

Responsibilities:
  • Manage client account balances
  • Collect all information needed to process biweekly invoices and statements
  • Proofread invoice entries to ensure general readability
  • Check the data input in the billing system to ensure accuracy of final invoice and statement
  • Print and send invoices and statements to clients through various channels (mail, e-mail etc.)
  • Receive, process and record payments and refunds through various methods (cash, credit card, online payments etc.)
  • Communicate gentle reminders for payment by telephone
  • Update database with new payment, balance, client information etc.
  • Answer questions from clients regarding their invoices and statements
  • Prepare and send daily revenue report to Chief Operating Officer
  • Open new client files, assign case numbers, maintain new client log, and prepare electronic and hard copy of file, close and send completed case files to clients
  • Scan and file documents into designated hard and cloud based client folders
  • Record client expenses advanced by the firm, reimbursements and payments
  • Maintain and report client payment status
  • Assist records clerk and receptionist as needed
  • Perform other miscellaneous general office tasks as assigned
Requirements:
  • Proven general office experience, especially in accounting or billing department
  • Adherence to laws and confidentiality guidelines
  • Proficient in G-Suite (Google docs, drive, and sheets); Working knowledge of relevant software (e.g. Quickbooks, MyCase) is helpful
